Fellars...I just got word back that we might be able to swing having our pic at TMS...only problem is it'll have to be a weekday if we do it there because their weekends are booked solid through the rest of the year. What do you think? What day? Lemme know.
I've got an e-mail back in regarding the type of pic...I'm hoping for a bank shot or one where we are all lined up along pit road...I'll keep you posted.

I think that it will be awesome except I think the turnout will be way slim due to a work day. The pit picture would be badass.

I was thinking on trying to do a Friday if possible, after work...say 6pm or so. Snap some pics, run down the highway to the local pub n' grub and chill. Don't know if it'll be possible, but it's worth a shot.

Boy, don't I know it. I figured we'd never get a response and I got a pretty favorable one, though we do have an issue with weekday over weekend. If we decide on this, perhaps we could schedule it with plenty of notice so that everyone would be able to make plans and sneak away from work. Don't know how feasible that is, but I'm going to give it my all.
I'll keep looking for venues nonetheless.
We could MANDATE that everyone take off and come to the picture or else be shunned from TALON forever....like some clubs do....:rll:

First I need to find out if I can swing a Friday....then we need to guage interest and see if it is even feasible. Once we get all that squared away, maybe you and I can can take a run out there and see waht kind of shots they'd be willing to let us take, since you are prolly going to be camera man, I'd like your input on the shots...
Maybe the planning committee can join us on this advernture as well. I know of a couple of people who've volunteered.

I think the TMS thing is an awsome idea. I could probably work something out to get off, unless I'm out of town at a swap-meet.
How would the pit road thing work? We have a bunch of trucks and they would probably be spread out so much that you wouldn't be able to see them all.(Kind of like the last HALO group picture)

July 3 (I assume he meant 1), 8 or Aug. 5 , 12
Any of these dates gives us lots of time to plan. I am going to call him tomorrow to get a little more detail. Who's game?

Doug,
Since you are probably photographer again, do you want to be on the call when I call this guy? I was thinking about doing it early afternoon or so tomorrow. We'll probably want to make a trip out there one day to nail out the details in person and sort out how we want the shot...
Shoot me an e-mail or PM with a number you'd like me to call you at.
Also, time to start asking for volunteers to help pitch in again. I'm going to shoot for having the pic taken at 6:30pm...should still be plenty of light then....so organizing crew will need to be there no later than 5:30 or so.
Thanks,

You are doig a great job again on the photo shoot
Sounds like a winner. No reason for me to be on the call ...
Just remember that we need to have room for 60+ trucks, time to assemble them and a high, close vantage point to shoot from.
Ask if we can get on the roof of the grandstand at the finish line ... maybe line up the trucks facing the stands on either side of the line..or maybe the best thingis to figure out hose details on a site visit ... Im up for that ...
I can always photoshop in the TMS logo some how...

A site visit is definitely in order so we can plan out everything ahead of time. I'll look into setting that up when I talk to TMS. Chances are they will want to do it during a weekday (maybe a weekend, but who knows). I'll let you know what days they have available for a site visit and we can decide from there.

Sh!t. Got a problem I just found out about...
There is no charge for use of the track for a pic if we do it during the hours where the staff is present. The staff leaves at 5:00, which means if we don't have the shot taken care of and us out of there by 5 we have to pay up. I was thinking about collecting at the site starting at 5 to give everyone a chance to get there after work, but that would cost us. Price for the extra time past 5pm is fairly reasonable,so I leave it up to you as to whether or not we should move forward. Basically I do not expect the club pocketbook (AKA Doug) to foot the bill, nor am I going to. We may need to see if the demand is enough to still go through with this and to pay the $$. We may ask for a donation to the cause UP FRONT to pay for the use of the facility, and you would get some kind of benefit out of it. What I don't know and how much each person would need to pitch in I don't know.
Anyway, just rambling...is there enough interest in doing this that you would be willing to donate say $10 to the fund? Maybe we'll have a tiering of trucks...$20 gets you a better spot in the pic than $10 does...I don't know...
Just a little pissed that my thoughts that this is too good to be true are starting to reveal themselves. What an enormous pain in my f#ckin ass. Maybe it's back to the drawing board...

I was quoted $xxx for staffing, which is reasonable IMO. I just want to judge if there is enough interest for some folks to pitch in and cover the cost. If not, I am not going to ask any one person to take the brunt of the hit. The price isn't bad, but if we split it amongst some of the folks that are willing to split it, then it may be OK.
Maybe we can con them into letting take some laps on the big oval or the road course since the staff is going to be there anyway :D...

The meeting went very well. Doug and I were amazed at the customer service we were provided even though TMS is not really going to make any money off of us. The guy we met with toted us around in one of the track trucks to the various spots on the track that we wanted to check out, including pit road, the start/finish line, and a few other spots. Doug took some vantage point shots so e can study them and decide on the best vantage point. I have one specific on in mind that I think will work out well, though the background will be less than ideal.
Now to the decision....we'll keep everyone posted on whether or not TMS is going to be the venue.
We will definitely need some major help to organize this on photo day. We are going to need to be very organized to take up as little time as possible. Keep tuned in and you'll get all the info you need.

We can prolly get it on pit road if we move the photographer back to victory lane or behind. Also, Steve-o has the banner we could strap up on the bling bling trailer.
Also, as an FYI to all....I just got word back from TMS that there are a few Saturdays we might be able to get our grubby hands on. They will all be after 5. The window is pretty much any size we want, but we will still have to pay the staffing fee, and they do ask for payment in advance. If we can be in and out in two hours we only pay for two hours. The dates available are Jul 9, Aug 6 and Aug 27.
If we decide to do this, we need to figure out the finances ahead of time...I know of several people that are willing to pitch in, so we might be able to scrape up the funds, but we need the funds before we make the plans and confirm.
More info to come.

Tom, let me get this straight: will they allow us to put our truck *on* the track? If so, where are you considering doing that?
I'm thinking that, if we get a Saturday after 5pm, it might be better to be on the side of the track still in the sun, for the light. Think that'll work?

The best vantage point is with the trucks on the start/finish line...like the pic Doug posted. If my memory serves me correct, the start/finish line is on the south-west side, so it'll prolly be in shade or getting close to it. Unfortunately we do not have very many options for scheduling, unless we do it in the middle of the day on a weekday....not gonna happen...

Actually, I was talking with my photographer friend today, and a couple of things:
1) He has a nice wide-angle lens that can get all of our trucks, period.
2) He suggested putting the trucks in Turn 1, at an angle (I'd have to show you what I mean). With the lift, it would give us defintion to the trucks, Texas would be in the background on the wall, and the Speedway club would also be in the background.
He has some really good ideas...!

Well, whatever we decide upon, we need to stick with it and be organized. I don't think we're going to have too many options as far as moving trucks around...plus of we did go with the turn 1 idea, we would prolly have to drive an aggie victory lap around the speedway to get there, and I'm not really sure how protective of the speedway they are going to be that night. It would make a pretty nice shot there, though. We'll have another meeting with our contact at TMS beforehand I'm sure to iron out the details, I'm sure...

Hence our discussion NOW, so we can have ALL the trucks in a row and ready to go... ;)

So all...I need to know if we are a go for this. We basically need to raise the funds for this ahead of time, as TMS requests that fees be prepaid. I am looking to set up a meeting with our TMS contact via phone to talk about a few things since e-mail seems to be pretty slow, but I would like to know if the group here is committed to putting up some greenage to make it happen. Basically, if we want the money shot on the start finish line, we are going to need to rent a lift, which will be additional cost. We're looking at around $300 or so that we have to raise to make this happen.
Doug, what are your thoughts on the matter...start moving forward? I don't want you or I to get stuck with the bill here, so if we're going to split the bill among the group, perhaps we need to set up a process to get the funds into you, or something. I'm not real comfortable moving forward without a sure fire deal...but that's just me. Lemme know.

I thought the money part was done already???? If Doug can figure out some way of getting my company name in the shot, (in a classy way, don't want to look like name whores), I can cover it as a form of advertising/sponsership. I can also furnish my trailer to bring the lift.........does someone have one or are we renting it? If renting, we can get it right here in Plano, so it is easier to pick up/drop off. Obviously the catch in all this has to do with when we schedule....it is tough to help out if I am off at a FFW event.
Let me know.....
One more thing........One name in the shot is already too many...LOL...someone suggested having Terry's big arse trailer in the shot with his name on it....not a bad idea...but he needs to fork over the 300 bucks for the sponsership funds if we do this. Having PR and then Plano Air in the shot is too many.....IMHO. Actually...having a trailer in the shot will look like sh!t anyway.....figure out a less obvious way...if ya ask me.

I was thinking we could sneak it in where it wouldn't be obvious. I can send you a picture of how our logo/company name is and you could just photoshop it in to make it look like it is part of the scenery...LOL
I'm no photoshop guru...but this is just an idea.........

Yeah Tom...move forward...i have commited...LOL. Just schedule it for when I am in town....any week end that isn't FFW between now and forever.
The sponsership is a done deal, no matter when everyone decides to do the shoot.
The part that is up in the air has to do with my offering to tow the lift...I can't do that if I am out of town...so we will need help with that part.

I just comprehended your post...I like this idea even better. I will get a copy of our company name to you so you can show me a few samples...this will help me satisy my controller as to the legit advertising expense issues. Give me a couple days...i'll get it to you though.

I'm in, and I like the date of the July 4 weekend as previously mentioned. Anytime that is NOT August is fine with me.
Maybe setup a Paypal donation for this, for the geeks, and the rest can mail or courier their funds to you.
If Terry wants to put his butt in the picture with a tattoo on it, I say let him.. :evil

Both are good....I think I like the first better....Let me get you a copy of our logo and the color....Then you can see how it will look when put on. Our color is called process blue at print places.

So there are no problems with having a sponsor for the pic if any photos include the track logo or name? That could be an issue...

Good point however the mere fact of using TMS has put a HUGE number of restrictions on the photo and its use... Tom is managing them

Strange, isn't it? One would think that in reality, we are doing them the favor by advertising their race track. I know that is not how it works in real life, but strange, none the less.

I am?? Just kidding. From what it sounds like, so long as we do not use the pic for advertising of an event or anything like that we should be fine. Since this is basically a pic for private use of the club, we should have nothing to worry about. I have not asked about what TMS thinks about having a sponsor for the pic, but common sense would tell me that they would understand that the sponsor is supporting the event, not the venue. It's not really the venue that will get upset, it's the track's sponsors, anyway. I'll bring this up in conversation and see if it is going to be an issue.
